User Management & Identity

The Users module is where you manage the individual identities of people accessing the EducaSphere platform.

Users Directory

Navigate to Portal > Users > All Users to view the current user base.

User Status:

  • Active: User can log in and perform actions.
  • Inactive: Access is temporarily suspended.
  • Pending MFA: User has registered but not yet set up Multi-Factor Authentication.

Managing User Accounts

Provisioning a User

  1. Click Add User.
  2. Provide First Name, Last Name, and Email Address.
  3. Assign one or more Roles.
  4. Define the Access Scope (which schools/campuses they can manage).

User Profiles

The User Detail page provides a 360-degree view of an account:

  • Account Settings: Update email or reset passwords.
  • Role Assignments: View and modify the roles assigned to the user.
  • Activity Logs: See recent login attempts and major actions performed by the user.

Multi-Factor Authentication (MFA)

EducaSphere supports secure authentication protocols:

  • Authenticator Apps: TOTP-based verification (Google Authenticator, Authy).
  • Recovery Codes: Emergency access codes for when devices are lost.

Email Uniqueness

Each user account must be associated with a unique email address across the entire EducaSphere platform.
