The Students module is the central repository for all student data, tracking their entire academic journey from the moment of admission to graduation and beyond.
Students Directory
Navigate to Academic > Students > Student Directory to manage your student body.
Core Student Data
- Institutional Identity:
- Student Number: The primary institutional identifier.
- Admission Number: A secondary number, often used for government or historical filing.
- Status: active, inactive, graduated, transferred, withdrawn, suspended, or expelled.
- Academic Progression:
- Admission Date: When the student officially joined the school.
- Expected Graduation: The projected completion date based on their current programme.
- Logistics & Needs:
- Boarder vs. Day Student: Toggles based on housing status.
- Scholarship Status: Indicates if the student receives financial aid.
- Special Needs (SEN): A critical flag for students requiring educational or physical accommodations.
Student Background
The profile also tracks historical context:
- Previous School: The name and address of the student's last institution.
- Highest Grade Completed: Entry-level baseline.
- Referral Source: How the family heard about the school (Marketing analytics).
Managing Contacts
Guardian Management
Every student record can be linked to multiple Guardians (Parents, Sponsors, Legal Guardians).
- Primary Contact: The first person to call in an emergency.
- Financial Responsible: The person who receives invoices and handles billing.
- Pickup Authorization: Flags indicating who is legally allowed to take the student from campus.
💡 Pro-Tips & Notes
The Student Number is immutable once assigned. It serves as the primary key for all academic, financial, and behavioral records throughout the student's tenure.
When the Special Needs flag is enabled, ensure the Special Needs Details field is populated with specific instructions. This data is highlighted on class attendance sheets for teachers.
A student is not considered "Fully Enrolled" until they have at least one Primary Guardian linked and an active Enrollment record for the current academic year.
