School Setup & Configuration

The Schools module is the foundational hub for establishing your institution's identity within the EducaSphere platform. It manages top-level institutional data, branding, and global settings.

Institutions Directory

Access the directory via Portal > Schools. This interface provides a comprehensive, searchable list of all institutions under your organization's tenant.

Key Institutional Data

When viewing or adding a school, the system tracks several critical data points:

  • Institutional Identity:
    • Name & Short Name: The full legal name and its common abbreviation.
    • Institutional Code: A unique identifier (e.g., "EDU-SEC-01") used for system-wide references.
    • Type & Ownership: Classify your school (e.g., K-12, Tertiary, Vocational) and its ownership model (e.g., Private, Public, Trust).
  • Official Records:
    • Registration & Accreditation: Store government-issued registration and accreditation numbers for compliance reporting.
    • Founded Year: The historical start date of the institution.
  • Communication Hub:
    • Email & Phone: The primary official contact points.
    • Website & Social Links: Links to the school's public website and social media handles (X, LinkedIn, Facebook).

Institutional Vision

You can record the school's core values directly in the profile:

  • Motto, Vision, & Mission Statements: These are displayed on student transcripts and official reports.
  • General Description: A public-facing overview of the institution.

Managing Your Schools

Adding a New Institution

  1. Click Add School in the top-right corner.
  2. Complete the multi-tab onboarding modal:
    • General: Core identity and official numbers.
    • Contact: Primary communication channels.
    • Values: Vision, Mission, and Motto.
  3. Click Create School.

Institutional Profiles

The School Detail page serves as a 360-degree dashboard:

  • Branding: Upload the high-resolution logo and banner.
  • Settings: Configure school-specific rules (e.g., default language, currency, and time zone).
  • Contacts: Manage a directory of key personnel (Principal, Registrar, etc.).

💡 Pro-Tips & Notes

Multi-Tenancy Note

The Institutional Code must be unique within your organization (tenant). This code is often used as a prefix for student and staff numbers to ensure global uniqueness.

Branding Consistency

Upload a transparent PNG for the School Logo to ensure it looks professional on generated PDF documents like report cards and invoices.

Deleting Schools

Deleting a school is a "Soft Delete" action. The record is archived but remains in the database for historical reporting. However, it will no longer be available for active enrollments or staff assignments.
