Getting Started: Access & Security

This guide will walk you through accessing the EducaSphere Backoffice Portal and managing your administrative account's security.

Overview

The Backoffice Portal is the central hub for platform administrators to manage the EducaSphere ecosystem. Access is restricted to authorized personnel, and all accounts are protected by multi-layered security protocols.

Administrative Access

To ensure platform integrity, self-registration is disabled for the Backoffice Portal. Administrator accounts must be provisioned by an existing system administrator or via the system CLI.

Signing In

To access the portal, navigate to the administration URL and provide your credentials on the login screen.

Login Page Placeholder Hint: Look for the "System Administrator" branding card to ensure you are on the correct portal.

  1. Enter your Administrator Email.
  2. Provide your Secure Password.
  3. (Optional) Select "Remember me for 30 days" if you are on a trusted, private device.
  4. Click Sign In to Portal.

Multi-Factor Authentication (MFA)

EducaSphere enforces Multi-Factor Authentication for all administrative actions. If MFA is enabled on your account, you will be prompted for a verification code after successfully entering your password.

MFA Screen Placeholder Hint: You can toggle between using an Authenticator App or a Backup Code on this screen.

Using an Authenticator App

  1. Open your preferred TOTP app (e.g., Google Authenticator, Authy, or Microsoft Authenticator).
  2. Locate the 6-digit code for "EducaSphere Portal".
  3. Enter the code and click Verify.

Using a Backup Code

If you lose access to your mobile device, you can use one of your pre-generated backup codes:

  1. On the MFA screen, select "Use a backup code instead".
  2. Enter one of your 8-character backup codes.
  3. Click Verify.
Backup Code Usage

Each backup code is single-use. Once used, it becomes invalid. Ensure you generate new codes if you are running low.

Managing Your Security Settings

Once logged in, you can manage your personal information and security preferences from the My Profile page.

Profile Settings Placeholder Hint: Navigate to Settings > My Profile to find security options.

Updating Your Password

  1. Go to the Security Settings section of your profile.
  2. Click Update Password.
  3. Enter your current password followed by your new password.

Setting Up MFA

If you haven't enabled MFA yet:

  1. Click Enable 2FA in your profile.
  2. Scan the provided QR code with your authenticator app.
  3. Enter the verification code to confirm the setup.
  4. Important: Download or print the provided backup codes and store them in a secure location.

Account Recovery

If you have forgotten your password, use the "Forgot Password?" link on the login screen.

  1. Enter your registered administrative email.
  2. Check your inbox for a Password Reset email.
  3. Click the secure link in the email and follow the instructions to set a new password.
